Board Meeting – May 9, 2017
President Debra Solberg called the meeting to order at 7:03 pm.

PRESIDENT’S REPORT: Debra Solberg
- Approval of March minutes - Ann Partridge moved to approve the March minutes and Winnie Muery seconded the motion.
- Introduction of new Board Members
- Audit will be complete for June meeting. Winnie Muery will be the non-board member representative to help with the audit.
SECRETARY’S REPORT: Debra Solberg for Wendy Wells
· Fish Camp Packet - Need updated pages from board members
· Pages for the packet have been emailed, some board members did not receive them, Debra will be emailing again
TREASURER’S REPORT: Jill Henze
- 2016-2017 Budget
- Still waiting on final numbers from Band Banquet and Music Festival
· 2017-2018 budget
o Highlights—increases in income and donations
o Trailers and equipment need repairs and new tires
· Motion was made by Missy Roth to accept the new budget and Jeanette seconded the motion
· 2017-2018 budget was voted on and passed
· Budget can still be amended—Mr. Gresens asked everyone to look at it for additional budget items
DIRECTOR’S REPORT: Mr. Gresens
· We need to prepay for marching contests for next fall…the sooner the better.
COMMITTEE REPORTS
- Activities: Band Banquet – May 12th at the Klein Multi-Purpose Center
- Set up will begin at 4:00pm—volunteers needed
- Mr. Gresens will get final numbers from middle school staff
- Michelle Knox and Carol Bradberry offered to help pick up balloons
- 4 volunteers still needed for check in
- Program is put together and at the printers
- Mr. Gresens is working on awards
- Slide Show is in progress
· Fish Orientation Camp will be Wednesday May 31 and Thursday June 1 from 6:00-8:30
o Wednesday - freshmen will orient with student leadership
o Thursday - band will feed incoming freshmen and student leadership—chick fil a? along with water and lemonade, parent meeting - board members need to be present at 7:00 for introductions, packets will be handed out
o Color Guard will have their own parent meeting
- Corpus Christi Trip - Eric Moquin wanted to thank all the volunteers and Mr. Gresens wanted to recognize the Moquins for doing a great job and stated the trip went really well
- Spring Music Festival - May 23-24
- Need more volunteers—2 shifts are available and 2 jobs are available (setting up the stage and gathering judges sheets and giving out trophies)
- Web Page: Kevin Wade
- The band is doing a free ad in a community magazine to promote the band and solicit donations—ad needs to be turned in by Friday
- Need to update email program with Mail Chimp
- Pit Pops: Eric Moquin
- List of “must do” items for trailer, equipment and new tires - use this year’s budget and then approve additional expenditures at June meeting
- Programs: Lauren Battistini
- In the process of looking at business ads
- Need help with personal ads to send to football, drill team, cheerleader booster clubs
· We will need 2 pallets of water—Zana Gibson will ask her previous employer, Lumber Liquidators, to donate 2 pallets of water bottles to band

- Additional funds were approved to Zach Moquin for his Boy Scout Eagle Project

Board Meeting – March 7, 2017
President Debra Solberg called the meeting to order at 7:07pm.

- Approval of February minutes: Kristen moved to approve the December minutes and Lorraine seconded. Motion passed.
- Eagle Scout Presentation: Zach Moquin
- Planning to restore the FFA Smoker for his Eagle Scout Project
- Budget will be around $700 – very preliminary; number could change. There is money in the Pit Pop budget for these repairs that were going to be done anyway.
- Jill moved that we allow up to $700 to be spent for Zach’s Eagle Project. Ann seconded. Motion passed.
- Last Year’s Eagle Project: Mitchell Wells presented a plan for his Eagle Project, which was approved last April – a cabinet for the percussion stands. The project was delayed and he has resumed work on it. He will come again to the next meeting to present his project again.
VICE PRESIDENT’S REPORT: Kristen Moquin
· Slate of officers for 2017-2018
- Biggest urgency we need to fill is someone for football programs. Discussion followed about possible people to contact
TREASURER’S REPORT: Jill Henze
· Balances: Checking - $88,584.60 PayPal - $1,100.00, CD - $21,000 (approximate)
· CDs are coming up for renewal. Kristen moved that we keep them as is – Jill seconded.
· Our Lowes tax exempt status has been verified.
· Colorguard will be doing a Fuddruckers fundraiser in April and May
· Budget items were discussed.
DIRECTOR’S REPORT: Mr. Gresens
· Date for Chaperone/Trip Meeting – set for April 18th at 7:00pm. Will be combined with board meeting to vote in the new 2017-2018 board.
· Colorguard has moved up to the big class in competition. They received 3rd place at the latest competition. Next show is this Saturday at KFHS.
· Budget – we need to be careful not to NOT spend our surpluses. He would like to move some money to cover some miscellaneous percussion purchases needed for the band. Jill moved that we use the remainder of the percussion budget and then move the remainder from the miscellaneous budget line. Kristen seconded.
COMMITTEE REPORTS
- Activities: Banquet – May 12th.
- Still in need of a photo booth. We have a DJ. Food provided by Italian Café. Catering will be $9 per person (includes 4 servers – so we will need volunteers to help serving).
· Publicity: Baby pictures for banquet
- Need to get in contact with Somer Padilla.
- Trip Coordinators: Kristen & Eric Moquin
- We have 20 volunteers and a couple of back-ups
- We have lifeguards arranged – same as last year
- Mr. Gresens and Kristen will work on finalizing the schedule.

- We have $606 so far in brisket sales on the PayPal account. Please send out flyers to advertise.

· Thanks for all the support – especially for the Christmas Angles project.
· Region Band – 14 students made it this year. 7 advancing to area.
· Musical rehearsals have started!

- Pie Sale Final Report: We only raised $500 this year.
- Need Another Fundraiser: Debra is going to check with one of the colorguard moms about spearheading a spring fundraiser; possibly a Mister Car Wash fundraiser – could sell at the drum show. Also possibly Fuddruckers for another option.
- Still trying to collect from a couple businesses, but mostly things are finished.

Vice-President Kristen Moquin called the meeting to order at 7:05pm.

- We need to be thinking about the nominating committee. The opening of Klein Cain high school might affect who can be nominated for next year.
TREASURER’S REPORT: Jill Henze
· Balances: Checking - $86, 197.26 PayPal - $1,100.00, CD - $21,000 (approximate)
- Debra’s email was hacked and Jill received an emailed request to transfer $8000.00. Jill found the request odd and texted Debra to confirm. Debra confirmed that it was not a valid request. Passwords were changed on email accounts. Then, a check was presented to be cashed and a red flag went up at the bank because it seemed fraudulent. Jill was contacted and confirmed that it was not one of our checks. We lost no money because of the careful attention and quick action by Jill and the bank.
DIRECTOR’S REPORT: Mr. Gresens
· Mr. Gresens thanked us for the support over the last 2 weeks.
· We are looking into finding a new company to pull our trailers. Too many problems happened this year.
· Since the drumline will be absent at the game on Saturday, we will have a professional drum set player at the game, amplified with KCHS’s sound system.
· Mr. Gresens will be meeting with Monte Mast – we might be getting some additional funding for next year.
COMMITTEE REPORTS
- Drumline will be at the Marcus competition on Saturday. They will leave at 8:00am and Missy will need to get the medical forms this week.
- Brisket Sales: Prices are the same as last year as of this evening. It is possible that they could change, but Eric recommended that we keep the prices the same as last year. The flyer will remain the same except for changing the contact information. Wendy moved that we approve the prices for this year’s sale and Kristen seconded. Motion passed.
- Water: Eric asked if there was any other way to hand out water other than the water buffaloes/cups at the competitions. (They are fine at the games) Mr. Gresens suggested that the students bring their water jugs.
- Gretchen Dilday is handling the Angel Tree project while Martha recovers from surgery.
- Donations for Angel Tree are due by next weekend.
- Peggy DuPreist will coordinate the chaperones for Saturday’s game. The call time will be 9:00am and busses will leave at 9:30am.
- We have a new website!! Still need a picture of Ms. Blancett and a list of the Super Boosters.

- The Public Storage account is in Scott Deppe’s name. The account has been paid through May. Jill was able to get the account tax-free now.
- The trailers are now inspected and registered.
- Jill moved that we pay for the pit pop and chaperones for the contest this Saturday. (38 sandwiches). Lorraine Haywood seconded. Motion passed.
DIRECTOR’S REPORT: Mr. Gresens
· Mr. Gresens thanked us for the help on Saturday at the contest last weekend.
· This weekend’s contest – students will be fed dinner regardless of whether or not we are staying for finals or not.
· There are 226 8th graders this year at our 3 feeder intermediate schools. 160 of those are zoned to go to the new high school. We received word that marching band will be considered a varsity group and our current 9th grade students will have the option to stay at Klein High School instead of being forced to go to the new high school next year. This should help our band numbers.
COMMITTEE REPORTS
- Activities: Lorraine Haywood/Jeanette Cook
- Pizza party this Friday will be moved to after the Saturday Oct. 22nd game. Lorraine moved that we do that and Jimmy seconded. Motion passed
- This Friday will be Jr. High night and we will be feeding them pizza before the game. Water from the pit pops will be needed at 4:30 in the commons area. (200 waters) We also need volunteers to help serve.
- UIL Decorating/Candy: Oct. 24th (Monday) – Volunteers will be needed to help decorate and make posters and also for donating candy. Candy will be due by Oct. 21st (Friday) Kendra was able to arrange for the cheerleaders to make posters this year!! J Board members will make section posters.
- Jason has taken a new job and has not been able to be as involved as he expected. Fundraiser is needed. We will look into setting up Fudruckers nights again. We will do the pie fundraiser again too – but for Christmas this year instead of Thanksgiving.
- $1000 outstanding. Everything else is outstanding.
- We need all Pit Pops to step up and be proactive in all our activities. (Not just football games) The band cannot function without us!!
- Cluster – Somer would like more people to upload pictures!! Right now we have 69 members on cluster. Another email will go out to remind people to join.
- Somer will have the yearbook spreads ready on Monday.
- Spirit: Wendy Porter and Christine Woodrome
- Section Shirts – Actionwear Plus said that shirts will be ready this week.
- I wanted to encourage board members to please consider helping out by chaperoning at competitions (when they don’t fill up) if they are planning to attend anyway.
- I had contacted Mr. Gresens about the Christmas Angel program. I suggested a few changes to the timeline, and recommended we reduce the goal over last year due to the economy. I am having surgery in November and will have physical restrictions, but Gretchen Dilday agreed to help me out with shopping, wrapping and delivery of gifts since her daughter is on the executive board.
- We need to get the dates for the nursing home visits. Martha will contact Mr. Gresens.
- Needs a list of Corporate Sponsors and Super Boosters
